The Polyclinic is one of the largest multi-specialty clinics in the Puget Sound area, with more than 150 primary care and specialty physicians in most areas of medicine. Established in 1917, The Polyclinic has a long tradition of delivering high quality, comprehensive, personalized care.

The responsibilities of this role are to supervise the teams, application specialists and MIS helpdesk, supporting the practice management system application and other system software applications and data controls. Maintain and support the application security, data integrity and master file controls. Provide the highest level of customer service support to our physicians and end users. Take the leadership role in acting as teacher, trainer, and mentor to the application specialist and the helpdesk teams.

Act in a leadership role to help in problem identification and resolution, including answering questions, providing advice, troubleshooting, and following-up to assist specialists in solving their application software problems. Coordinate user problem resolution with application specialists and the helpdesk along with other departments or outside vendors and track and report recurring problems, assigning roles and responsibilities for appropriate follow up. This includes maintaining and enhancing systems to support clinical needs – prototyping, developing, testing, documenting and revising systems and procedures.

Coordinate the application team for software release installation to include documentation, and coordination with training team and operational changes to departments. Ensure the application is updated and current with minimal impact to any department.

Coordinate the Helpdesk daily operations for phone support and work directly with the Infrastructure Supervisor to triage calls to tier 2 technical support.

Job Requirements

Requires a minimum of high school diploma or equivalent. College education or formal/advanced training with computer applications and supervision preferred.

Looking for four years of progressively responsible practice management applications experience and supervision of a team, preferably in a clinical setting, in a position requiring full technical knowledge of systems analysis, operations, customer service/helpdesk and project management skills. Minimum 2-4 years EDI experience preferred. Interface, Unix and network administration experience also preferred.

Requires excellent communication skills with experience with interface and application management. Ability to coordinate multiple medium to large application implementations and manage the associated projects. Able to deal with stress and short deadlines as a norm. Provide and maintain high customer service standards. Need someone with strong leadership skills that can mentor staff and build a strong sense of team (lead by example)
